Site Doctor: QuickBooks Export

ClickCartPro and EuropaCart exports their order data into QuickBooks using QuickBook’s IIF format. It’s a standard format that’s been supported since QuickBooks 2005 and works on all known versions (Basic, Premier, Accountant, European, etc.) of QuickBooks.

ClickCartPro and EuropaCart export order data only. They does not do tie into QuickBooks for products or product functions like inventory controls or create or manage customers. ClickCartPro and EuropaCart export their order data in a format that debits and credits all proper accounts and produces a full blown invoice with items as line items.

To use out the module, follow these steps:

1. In the Management Interface, access:

Store > Orders > Processing

Choose to ‘Update’ orders. Change the ‘Order Status’ for any pending orders or partially shipped orders you want to export to ‘Completed’. This can also be done using the Batch Order Managment module, if installed, at Store > Extension Module: Batch Order Management (BOM) > Batch Order Management (BOM)

2. Then access:

Store > Component > Settings > Quickbooks Export Settings

Make sure that the Account Names listed here are accurate. The system uses the following accounts: 1 Accounts Receivable, 1 Bank, 4 Income (Item Subtotal, State/Province Tax, Country Tax and Shipping) and 2 Expense (Discount, Sale). Make sure that the Account Names in ClickCartPro are associated with accounts in QuickBooks. All accounts must be present on both systems and all must match in name. You may need to create accounts in QuickBooks. You may need to change the names of the accounts as listed in ClickCartPro to accounts already listed in QuickBooks.

3. Then access:

Store > Exports > Quickbooks Accounting

Choose the IIF filename to use and then export your orders. Only orders with an ‘Order Status’ of ‘Completed’ will be exported. Once orders have been exported, they cannot be exported again (SEE NOTE 1).

4. You’ll be sent to the downloads screen to download your file. Do so and make note of where you save it on your computer.

5. Open QuickBooks, choose to import data in IIF format, browse to the export file you created and submit your request. After QuickBooks has finished processing, your orders will be stored in QuickBooks (SEE NOTE 2).
